At Leon Coupe Fitness, I am committed to protecting your privacy. This Privacy Policy explains how I collect, use, and safeguard your personal information when you visit my website and use my personal training and online coaching services.

Leon Coupe Fitness is the data controller responsible for your personal information.

1. Information I Collect

I collect and process various types of personal information, including:

  • Personal Details: Name, age, gender, and contact information (email, phone number, etc.).
  • Health and Fitness Information: Medical history, injuries, fitness levels, goals, and progress tracking data. This is treated as special category data under UK GDPR and is processed only with your explicit consent, given when you complete an application or health questionnaire. You can withdraw that consent at any time by contacting me, though I may not be able to continue coaching you safely without it.
  • Payment Information: Billing details for service payments (processed securely through third-party payment providers).
  • Website Usage Data: IP addresses, browser types, and pages visited, collected through analytics cookies where you have consented to them.

2. How I Use Your Information

I use your data for the following purposes:

  • To provide personalised training and coaching services.
  • To communicate with you about your training, bookings, and updates.
  • To process payments securely.
  • To improve my website, services, and user experience.
  • To comply with legal obligations or enforce policies.

Lawful Basis For Processing

I process your personal information on the following legal bases:

  • Contract: to deliver the coaching or personal training you’ve signed up for, and to manage bookings and payments.
  • Explicit consent: for health and fitness information, and for website analytics cookies.
  • Legitimate interests: to respond to enquiries and to keep proper business records.
  • Legal obligation: to meet accounting, tax, and other regulatory requirements.

3. How I Protect Your Information

I implement security measures to protect your data from unauthorised access, disclosure, or misuse. Your information is stored securely and accessed only by me and by my web developer where site maintenance requires it. Payment transactions are processed via secure third-party providers, and I do not store your financial information.

4. How Long I Keep Your Information

I keep your personal information only as long as I need it:

  • Client health and fitness records: seven years after the end of the client relationship. This covers health screening forms, injury and medical information, assessments, programme records, progress measurements, and related communications. Keeping these for seven years allows me to hold appropriate records for legal, insurance, and business purposes.
  • General client contact records: two years after the end of the client relationship.
  • Enquiries and applications that don’t proceed: twelve months.
  • Payment and invoice records: six years, as required for tax purposes.
  • Website analytics data: fourteen months.

After these periods, records are securely deleted or anonymised, unless I have a lawful reason to keep them for longer.

5. Third-Party Providers And International Transfers

I do not sell, trade, or rent your personal information. I share data only with providers who help me deliver my services:

  • Fitr: your training programme, nutrition targets, progress data, and messages.
  • Calendly and Google Meet: booking and video consultations.
  • Stripe: billing details for online coaching, handled securely by Stripe. I don’t store your card information.
  • Bank transfers: where you pay by bank transfer for personal training, my bank processes the payment, and I keep a record for accounting purposes.
  • Google Analytics 4: website usage data, where you have consented to statistics cookies.
  • Google reCAPTCHA, Google Fonts and Google Maps: these receive your IP address so that spam protection, site fonts and the contact page map can work.
  • Website hosting and forms: enquiry and application form submissions are stored securely within my website database, hosted by SiteGround.
  • Email provider: correspondence sent to and from coaching@leoncoupe.com.

I do not send marketing emails.

Fitr stores your programme and coaching history while your account is active. I keep my own separate records of your health information and training history in line with the retention periods in Section 4.

I may also share data where required by law or in response to legal proceedings.

Some of these providers are based outside the UK. Where that’s the case, transfers are protected by appropriate safeguards, such as the UK International Data Transfer Agreement or an adequacy decision.

6. Your Rights And Choices

Under UK data protection law, you have the right to:

  • Request access to the personal information I hold about you.
  • Request corrections or updates to your personal data.
  • Request deletion of your data, where legally applicable.
  • Object to my processing of your data in certain circumstances.
  • Request that I restrict how I process your data.
  • Receive your data in a portable format, or ask me to transfer it to another provider.
  • Withdraw your consent at any time, where processing is based on consent.

7. Cookies And Tracking

My website uses cookies. Functional cookies are always active because the site cannot work without them. Statistics cookies (Google Analytics 4), and any preference or marketing cookies, only run if you consent to them using the banner shown on your first visit.

8. Clients Under 18

I train clients aged 16 and over. If you are 16 or 17, please contact me directly at coaching@leoncoupe.com rather than using the application form, as a parent or guardian needs to complete the application and health questionnaire and give explicit consent to process your health and fitness information.

I may periodically update this Privacy Policy. Changes will be posted on this page with the updated effective date.
